Share Manually
Follow the steps given below to share files manually with people within the Beloit College domain.
- Go to drive.google.com and sign into your Beloit account.
- Click Team Drive on the vertical navigation menu to the left of the screen.
- Navigate to the Drive from which you want to share a file.
- Right click on the file.
- Click Share on the context menu.
- On the Share menu insert name or email addresses of the recipients.
- Select the most applicable access permissions for the recipients from the drop-down menu. It is located below the Email addresses of the recipients.Â
- There are three levels of access permissions.
- Recipients can Edit (default).
- Recipients can Comment. Edits will appear in the form of Suggestions.Â
- Recipients can View.
- Insert a message if you like. This step is optional.
- To Skip sending notification to the recipients, check the box beside it.
- Click Send to share the file.

Get a Shareable Link
Follow the steps given below to Get a Shareable Link to a File on Team Drives.
- Go to drive.google.com and sign into your Beloit account.
- Click on Team Drive from the vertical navigation menu on the left of the screen.
- Navigate to the Drive from which you want to share a file.
- Right click on the file.
- Click Get shareable link on the context menu.
- A pop-up menu will appear.
- Turn on Link Sharing, if it is turned off.
- The shareable link will now appear.

External Access
To enable files to be accessed by organizations outside the Beloit College domain, follow the instructions given below.Â
- Go to drive.google.com and sign into your Beloit account.
- Click on Team Drive from the vertical navigation menu on the left of the screen.
- Navigate to the Drive from which you want to share a file.
- Right click on the file.
- Click Share on the context menu.
- Click on WHO HAS ACCESS located at the bottom left corner of the Share pop-up.
- On the next pop-up, click on Link sharing on.
- Note: Link sharing has to be turned on to enable External Access.
- There are two check boxes available on the WHO HAS ACCESS pop-up.
- Allow external access. Check the box against it if you would like to share the link outside of the Beloit College domain.
- Findable in search results. Check the box against it if you would like to allow people within the Beloit College domain to find and access the file via Drive search.
- Check both boxes if you would like to allow anyone on the Internet to find and access the file with no sign-in required.
- The changes will be automatically updated.
- Click Done to exit.

Restrict download, print, and copy actions
Team Drive users can restrict download, print, and copy actions on shared files for people with the access permission to comment and/or view. To do so, follow the steps given below.
- Follow steps one through six on the section above (External Access).
- On the next pop-up, click on the three vertical dots icon located at the top right corner.
- Check the box against, Restrict download, print © action on this file for commenters and viewers.
- Changes will be automatically saved.
- Click Done to exit.
