Moving a Drive File or Folder


Users can move files and folders from one account to another 

    1. Log into Google Drive 
    2. Locate the file you want to move. (Your files should be listed in the main Drive screen, but you might need to open other folders if the file you want to move is within one of them.)
    3. Select the checkbox to the left of the file name.
    4. Repeat steps 2 and 3 for any other files you want to move to the destination folder.
    5. Click the More button. (Make sure you click the one at the top of the screen, not the More link at the left of the screen.) Drive presents a number of options you can choose.
    6. Choose Move To. Drive displays a dialog box showing the hierarchy of folders that you've created. (See Figure 1.)

  1. Use the controls in the dialog box to locate and select the destination folder. (You can expand and collapse portions of the hierarchy by using the small triangles to the left of each folder name. If there is no triangle next to a folder name, that means that particular folder does not contain any subfolders.)
  2. Click the Move button.


Sharing a Drive File or Folder
The files and folder that are stored in Google Drive can be shared with others. You can share the files and folders that you store in Google Drive with anyone in your organization, however some administrators restrict sharing with recipients outside your organization.  Beloit College allows file and folder sharing with other organizations.
To share files and folders follow the instructions given below. 
  1. Right click on the file or folder you want to share. A context menu will open. 
  2. Click Share on the context menu.
  3. Share with others option will appear.
  4. Under People, enter the email address(es) you want to share the files or folders with. To add more than one recipient click on Add more people
  5. Click send

Publishing a file

Publishing a file on the web enables anyone to view the your content. You can link to or embed your document.To publish a file follow the instructions below.

  1. Open a file in Docs, Sheets or Slides.
  2. Click on File at the top left of the window. A context menu will open.
  3. Click Publish to the web.
  4. The Publish to the web menu will appear.
  5. Click Publish.
  6. Send to URL to anyone you would like to view the file.

Get a Sharable Link to a Drive File or Folder


A Sharable link allows you to share the link with others whom you want to view your file. To get a shareable link follow the steps given below.

  1. Right click on the file you wish to share. A context menu with open.
  2. Click on Get sharable link. A link sharing setting menu will appear.
  3. Turn on Link Sharing and the link will appear.

Deleting Drive Files or Folders

To delete a file or folder you can move in into your trash and it can be recovered in the future if need be. Your file will stay there until you empty your trash and delete it forever. To delete a file follow the given instructions.


Delete a single file:

  1. Home the home page, right click on the file or folder you wish to delete. A context menu will appear.
  2. Click Remove on the context menu.


Delete multiple files: following are two ways to delete multiple files.

  1. To delete files  that are in consecutive order click on a file you wish to delete and hold down the Shift key while you select another file. The files between those two files will also be selected.

           a. After selecting the desired files click the trash icon on the top right of the window.

      2. Drag the mouse pointer around the files to create a selection.

Recovering Drive Files and Folders


If you want to recover a file or folder that you deleted follow the steps given below. 
  1. Click Trash on the Google Drive Home Screen. The Trash page will open.
  2. Right click on the file you want to recover.  A context menu will appear.
  3. Click Restore on the context menu to recover your file.
